Customer Contact Request

when a client requests a contact and types a note etc about what they want us to call them about etc using the comments or questions section on the quote that information goes into the event notes with that lead.

When that info goes there, it then prints on our orders where we enter event notes etc like who to call day of, what gate to use, security phone number for the guards etc. Basically any info we need our drivers to know and also that is listed for our clients to see incase we have something wrong they have the change to fix it.

So with that being said. When those questions and comments get put in that Event Notes field, we have to copy cut and paste into another field if we want to keep them, which we do so there is no question as to what they client told us, but all that information is not something our delivery guys need to see about call me about xyz color of linen or can you make a change from 12 to 10 tables etc.

Can the questions/comments have its own field on the lead so it will maintain it without us having to jump through the hoops to do all the copy paste crap?

It seems we would only need to have another event notes section added called customer comments/questions and then dump there info into that field?

Possible?

I suggest using one of the notes fields called Additional Notes 1 or 2. You can rename them and use them for your company notes. You can also put them on templates. Then if the customer puts notes in, the notes can go into the Event Notes like normal. You can remove the event notes from your templates so that they are not printed.

thats what we do now we move them from event notes to an addtional field i was just saying since the customer notes are a section you all are capturing why not just add an addtional section to leave them in automatically to keep from all the moving re arranging and changing a bunch of form fields that have event notes preset..

I'm saying don't move them. Use Additional Notes 1 (or another) to put stuff you want to flow through to templates and train your staff to put notes there. Then the event notes don't need moved. Customer notes travel with the customer so putting notes from a specific lead in there would eventually get confusing.

So when i send a quote to a client and they enter notes and comments on the quote like in the picture attached.. your saying those notes travel with the customer? Why would those notes travel since those note are for that particular lead or quote? I dont see a reason for them to travel from that area of input?

I am not talking about notes we enter on the customer backend.. these are notes that are entered via client interface not by the admin

No, the notes entered by the customer in the comment field go to "event notes (public)" and don't travel with the customer profile (they are specific to that lead). We won't be giving them a dedicated field because it would adversely effect too many of our existing customers' templates who rely on it to maintain the same functionality.

Our suggestion instead is to change your templates to only use one of the additional notes fields for things you want to add to a quote/contract so that the customer sees them. In other words, if you don't want the customer seeing their comments in the *eventnotes*, remove that variable from your public templates and replace it with an additional notes field.

ok i got ya.. the confusion came where it was stated the the "customer notes travel with the customer" in your previous comments...

this is what you said and why i was confused.

we will work to make the needed changes once we determine the best way for us to handle

Thanks as always
