Blue Moon Cinemas technicians use stakes to anchor the screen. If screen will be in a location where stakes cannot be used, client will be responsible for providing a suitable anchoring option. Screen requires four anchors, each weighing a minimum of 250 lbs, placed in a rectangle around the screen.
Please Note:  Final Balances are due 14 days prior to your event date. 
Your reservation is not confirmed in our system until you have signed your contract (either online, or sent via fax or mail) 

Terms of Agreement

BMC will provide a Cinema Program (The Event) for the following date: 11/7/2020

The show time can be scheduled no earlier than twilight.

We guarantee the following to ensure the event will be fulfilled in a professional manner:

  1. Inflatable video screen (specific screen size listed above)
  2. Professional stereo PA, Video projector, and all necessary audio/video components
  3. Technician on site
  4. Set-up and tear down of BMC’s equipment
  5. Event liability insurance
  6. Weather Guarantee (see details below)

For their part, the Client is responsible for: (Please initial the “Sprinkler Clause”, item #3)

  1. Providing location (The Site) to hold the event
  2. Access to the site between 5PM and 12AM for set-up, test, the show and strike
  3. Sprinkler systems need to be scheduled “off” the day before event to let ground dry out. Can be turned back on day after event. This ensures the equipment does not get wet and/or damaged. Please note, it takes at least an hour to strike after movie ends. Failure to comply with this important detail will result in an additional $500.00 charge per occurrence, as well as compensation for any damaged equipment.

  4. Electrical Power 2 dedicated 20-amp (110-volt) electrical circuits (within 100' of screen location and projector/audio stand) 
  5. Adequate security for the safety of the equipment and attendees of the event
  6. Identifying and marking Utilities (water/power lines) for the purpose of anchoring stakes into the ground
  7. BMC must receive all promotional materials to be shown during the event, one week prior to show date

Deposits & Final Payments 

DEPOSITS: An initial deposit in the amount of 50% of your rental total is required to confirm your event date along with a signed copy of this Rental Agreement. This deposit is non-refundable. The final balance for your equipment rental is due 14 days prior to event date. For reservations made inside 14 days, the full payment is due to confirm the reservation. Your date is NOT CONFIRMED unless we have received your deposit and signed Rental Agreement.

FINAL PAYMENTS: Your equipment rental is subject to cancellation if we have not received your final payment 14 days prior to your event. If you cannot make the final payment at least 14 days prior to your event date, please notify us so that we can make alternate acceptable payment arrangements, or cancel your reservation in our system.

Film Licensing

Once you have selected your movie, we can help you, at your expense; acquire the movie and the legal rights to screen it. The selected film must be available on DVD (Widescreen Preferred). Some filmmakers, such as Disney/Pixar, have restricted the use of their films in outdoor settings. The Disney outdoor viewing window is broken down by month and “Animated” or “Live Action”. Please call Swank Motion Pictures for details 800.876.5577. No Disney or Disney affiliated films can be presented by BMC outside these dates. Please plan accordingly.  If you intend to charge admission at your event, certain restrictions apply, which vary according to your film choice and its distributor.

Outdoor theater DVD film licensing, through our distributors, will not allow traditional (print, radio & tv) advertising of the “film.” Advertising your “event” is perfectly acceptable. Advertising your “film” is acceptable in the following forms: Internal publications, email lists, websites, press releases, editorial movie listings and posters around town. Please contact us if you have specific questions and we’ll inform you of possible restrictions. Outdoor theaters are still relatively new and have yet to be afforded the same licensing rights as indoor theaters. This restriction is currently in place to protect the longstanding relationships between the studios and indoor theaters.  

Weather Guidelines 

We DO NOT cancel your event for weather related reasons until the day of your event. 

Weather predictions change (often!) --- we want to give you the opportunity to have the event, so we do not allow weather related cancellations or rescheduling until the day of your event. If we mutually agree to postpone your event, you will be required to pay a rescheduling fee to cover employee time and investment. 

Blue Moon Cinemas retains the right to postpone the event for public and equipment safety reasons. We use the following weather guidelines in determining an event postponement:  

50%+ CHANCE OF RAIN: If there is a 50%+ chance of rain or if winds are forecasted to be 20+ MPH for the period starting two hours before, during and two hours after your event, we reserve to the right to cancel your rental for that date in order to protect our equipment, the safety of our hosts and your guests. We also reserve the right to setup our screen parallel to the wind regardless of where customer would like placement, in order to minimize possible wind damage to our screens.

If these conditions are highly likely based on current weather forecasts, we will schedule a phone call with your designated contact person at 10:00 AM on the day of the event to discuss your options listed below. The Client does not have the right to postpone the event due to the forecast of inclement weather.  

PROCEED/POSTPONE WEATHER OPTIONS: It is agreed by both parties that www.weather.com is the tool used to verify weather percentages. Simply visit www.weather.com the morning of your screen rental. Put in your zip code and click hour-by-hour. This is the only tool we use to predict the weather. We have until 2:00 PM on the day of the event to make a final decision, using the following three options:

Move your event indoors: (keep in mind our screens are very tall and will not fit in most residences). If you move your event indoors and you need to move down in screen size in order to fit your available location, there are no refunds or discounts for changing screen sizes due to weather and indoor requirements, and smaller screens are subject to availability.

Postpone/Reschedule: This shall result in a weather related cancellation fee, as shown below, to cover employee time and investment. The re-scheduled date must be within 6 months of original contracted event date. Please verify Blue Moon Cinemas availability before publishing a date.

Take Your Chances: If you choose to have our host dispatched to your location and we cannot complete your event due to inclement weather, natural disaster, national and/or regional emergency or electrical failure, you will incur the following charges:

a.) If the event is postponed after host arrives “on site” but before any setup begins, this shall result in a weather related cancellation fee, as shown below, to cover employee time and investment PLUS travel costs associated with returning to your venue at the rate of the $1.00 per mile round-trip from Blue Moon Cinemas’s facility to your location.

b.) If the event must be cancelled after set-up is complete, even if such cancellation is due to public and/or equipment safety reasons, it will be considered a completed event. You will not receive a refund and another event will not be scheduled. This would constitute your event!

Weather Related Postponement Fees are dependent on screen size, as follows:
18’ (12’ x 7’) Screen: $100 Postponement Fee
25’ (16’ x 9’) Screen: $200 Postponement Fee
33’ (20’ x 11’) Screen: $200 Postponement Fee
38’ (26’ x 13’) Screen: $300 Postponement Fee
58’ (40’ x 20”) Screen: $800 Postponement Fee

Blue Moon Cinemas does not refund event payments in case of weather related cancellations. You will have 6 months to reschedule your equipment rental in the case of inclement weather. 

Reservations 
Reservations are made on a first-come, first-serve basis and are tentative until "secured" with a 50%, non-refundable deposit. When the deposit is received, BMC’s services are guaranteed at your event on that date/dates. After deposit is received, you may change your date at no extra cost, assuming date availability.

Tentative Reservations 
You may tentatively reserve your dates without the deposit payment—but it is subject to cancellation if another client chooses that date and pays the deposit payment.

Event Liability Insurance 
In the event of an accident involving BMC’s equipment or employees to any outside participant(s), BMC carries a $1,000,000 event liability insurance policy. You may request to be listed as additionally insured. (You assume the charge of $105.00, per entity covered, for this request)
