Rental units showing as unavailable when they should be available

I have 4 total "castle combo" units, 2 of which can be used as dry only and 2 of which can be used as both wet or dry.


I have the 2 dry only units set up as their own inventory item, and the 2 wet/dry units set up separately from the dry only units as 2 dry (parent) and 2 wet (child).

  • 2 Castle Combo (Dry) Cousin to dry unit below

Inventory Item, Qty 2

  • 2 Castle Combo (Dry) (parent) Cousin to dry unit above
  • 2 Castle Combo (Wet) (child)

The problem I am having is if 1 dry unit is rented, then it is saying there are no other dry units available for that day... even if none of the other Castle Combo options have been reserved.

See the orders for 09/22, as of the time of this message, order #3972565 is the only order for that day with an order status that affects the availability of the Castle Combo. You can see that they only reserved 1 Castle Combo (Dry)... it still should show at least 2 other Castle Combo (Dry) as available for that day since there are no other orders for any of the other Castle Combos... keep in mind that 1 of the dry only units has been pulled for maintenance, otherwise it should show 3 available dry units.

I haven't noticed this issue until recently so I don't know if something has changed that is affecting the availability... or if that 1 of the dry only units being under maintenance is causing a conflict somehow... or if I set them up wrong in the system.

Please let me know how to fix this so we can make the 2 other wet/dry units I have set up as a "Castle Combo (Dry) parent" available for other customers to rent as dry now that we are getting closer to fall.

It looks like the issue is because one of the Castle Combo (Dry) units is in maintenance. If you change the lead to one of the Castle Combo (Dry)(parent) it should fix the problem.

I was curious and removed the 1 unit from maintenance and changed the inventory quantity of the dry only unit from 2 to 1. When I do this, it still shows that the Castle Combo (Dry) is unavailable for that day... shouldn't it still show the 2 Castle Combo (Dry) parent as available since none of the Castle Combo parent or child have been reserved for that day?

I think there is an issue with the Castle Combo (Dry) parent not showing availability properly as a Castle Combo (Dry) option.

The system is looking at the Castle Combo (Dry) and the Castle Combo (Dry) (parent) as two different items. So, if you want to book another one at the same time you would have to choose the (parent) one. I think the only other way around this would be to set up (4) Castle Combo (Dry) and then add the water combos (2) as accessories. Because the system won't let you have 4 parent items and then only 2 child items.

If I change the Castle Combo (Dry) back to qty 2, it then allows me to book another 3 Castle Combo (Dry) units for that same day (4 total if you include the other previously booked order), see order #3978191 & order #3972565.

When I have 1 of the Castle Combo (Dry) in maintenance, or remove it from maintenance and change the inventory qty to 1, it will only show 1 Dry unit as available when really there should be 3 available between the 1 Castle Combo (Dry) and 2 Castle Combo (Dry) parent...

when I remove the 1 Castle Combo (Dry) from maintenance and have the inventory quantity set to 2, then between the 2 Castle Combo (Dry) and 2 Castle Combo (Dry) parent there are 4 dry units available.

It seems that the (Dry) "cousin" feature only functions properly when both the Castle Combo (Dry) and Castle Combo (Dry) parent have the same quantity.

Something doesn't seem to be functioning properly here between the "cousin" feature and the quantities.

I tried the maintenance situation a couple of ways and it worked ok for me. Let me know if this continues to be a problem. Also, I set up a "serial number" for the Castle Combos. The dry only combos will have a number 1 listed after them....and the parent combos will have a 2 listed after them. This way you can tell easier which one is in maintenance, which one is listed on the calendar, etc. I think this will help a lot.

There was no confusion with what was in maintenance and what wasn't, I already resolved the issue I was having with the item availability for today by deleting that unit from the maintenance "Item History," I addressed this in one of the other messages below...

However, this doesn't resolve the issue I am having with the Castle Combo (Dry) parent showing as not available on the quote page.

Look at lead #3921545 on 09/16 for example. This is the only order I have on that day for the Castle Combo (Dry). As you can see from the screenshot below that the 2 Castle Combo (Dry) parent are available on the lead page but is showing as not available on the customer quote page so other customers are unable to auto book the Castle Combo (Dry) on 09/16 even though there are still 2 available to be rented (Dry).

A "cousin" item just means that two different rentals have the same name and look like the same item to the customer on the quote page. The two cousin items themselves are still 2 different items in IO. So you can keep it the way it is...just know that on a lead page you are going to have two options for Castle Combo (Dry). So, let's say you have already rented out the two Castle Combo (Dry) (parent)/(child) you would have to pick one of the dry only Castle Combos.

I understand how on the back end it will show the "cousin" as 2 separate units and on the quote page it will look like the same item to the customer... that is where the issue is. Since the quote page shows them as the same unit it should show the (parent) as available dry as well but it is not.

Also, look at today's orders, I only have 1 order for today for the Princess Combo (Dry) order #3963411, no other confirmed orders. I have the Castle Combo (Dry) set to qty 1 and the Castle Combo (Dry) parent set to qty 2... even though I don't have any orders at all for the Castle Combo (Dry) it is still showing it as unavailable for today on the quote page.

Again, even though I don't have any other orders for today... if I attempt to change order #3963411 manually on the backend from the Princess Combo (Dry) to the Castle Combo (Dry), the 2 Castle Combo (Dry) parent is available on the backend (not available on the quote page) and the 1 Castle Combo (Dry) is showing "Overbooked by 1"... but yet I don't have any other orders for the Castle Combo (Dry) for today so why would it show as unavailable on the quote page and show "Overbooked by 1" on the backend?

Try this....when on a lead search for the Castle Combo (Dry) twice....when you do it will bring up the parent and the dry only options: (see screenshot)

I found the issue why it wasn't showing available for today even though I didn't have any orders for it today...

even though I removed it from "Items Currently Out" in maintenance, it was listed under "Item History" and was still creating a glitch with the rental availability... I deleted it from "Item History" and now it shows as available today. There is something wrong with your software and how the inventory maintenance "Item History" is affecting the rental availability.

Ok, I finally was able to get it to show up the same way as you. When I tried to book the dry combo for the 16th it said not available. When I went to the current lead on the 16th and switched it to the Castle Combo (dry) (parent) and then tried to book another one for that day--it worked. I am probably going to have to have someone look deeper into this on Monday and see if this is actually a bug.

It seems like the cousin relationship is working from the parent to the dry only item...but not from the dry only to the parent item. (if that makes any sense)

Yes, it makes sense; something with the cousin relationship is not working properly in regards to availability on the quote page.

If I have something set up wrong please let me know so I can set it up correctly... for now we will keep a close on our quotes for this item but if it is a bug, please let me know when you estimate it will be fixed so we don't have to worry about missing any auto booked orders. Thanks!
