Contracts are now auto generated until signed or a snapshot is manually created

Mobile Site for Admins

New Features:

  • Contracts: Contract’s will auto generate until signed or a snapshot is manually created.

  • Contracts: Special Deposit Due, Amount Paid and Balance Due variables can now be added to contracts and they will continue to update even after a contract is signed. The following variables must be used and are only available on contract templates: %ctr_deposit_due%, %ctr_amount_paid%, %ctr_balance_due%

  • Emails: Auto emails can now send multiple times to same customer. For example you can save a copy of Payment Reminder so you have two, one set at 7 days and one at 14 days.

  • Emails: When an automatic email bounces it now flags the event (but only if there are no other flags). Note: Manually sent emails will not flag as the bounce email goes directly to the sender’s email account.

  • Emails: We now track email click-through rates. See the log tab for emails in the Email Center.

  • Leads: Sorting of rental items on an event can now be done by dragging the selected items around.

  • Leads: You can now search for items when editing a lead. Quick-add is still done through the search box by typing the name and price, then clicking update.

  • Leads: You can now prevent office staff from overbooking items under Settings->General-> ‘when admin overbooks’

  • Leads: Balance Due was added under Total on event tab

  • Leads: Event County was added under Settings->Optional Fields

  • Alerts: Booking Attempted email alerts will now include the exact reason why a customer couldn’t book

  • Attachments: You can now include Attachment filenames in a custom lead report

  • Mobile: Now admins and workers with permission can log into the mobile workers site, filter and work with leads, and get quotes.

  • Quote Page: Selected rentals are now shown at the top of a quote when the customer is editing a quote.

Bugs fixed:

  • Rentals: Inactive items no longer perform conflict checking

  • Google Calendar: When changing  the template, it will resync any future events automatically

  • Contracts: Fixed issues relating to a non-active contract being signed.

  • Leads: Changing the customer on an existing lead was displaying an incorrect message that it was going to update the old customer profile when in fact it wasn’t.

  • Leads: Changing quantity of inactive items no longer clears the price

  • Leads: When searching of a customer or keyword and no results were found the spinner icon wouldn’t disappear

  • Leads: Click-to-load categories was using the wrong date/time for conflict checking

  • Leads: Creating a new lead w/o an email was causing it to not open later

  • Leads: Clicking a flag no longer opens in a new window

  • Reports: Last Activity/Contact field was showing CRM not enabled even if it was

  • Reports: Added Contract Received Date

  • Upsell: Items set to not show on the quote form also are not shown via upsell

  • Promotions: Fixed bug in promotions where ‘exclude qualifying items’ was not always working

  • Promotions: Advanced packages were not working right in certain scenarios

  • Quote Page: Link Qty on Accessories now works for time-based on hidden items.

  • Emails: Yearly reminders are now going out to cancelled events

  • Emails: No longer sending payment received emails for refunds

  • Multi-Location: Changes to Online Quoting Settings was causing all locations to be set the same.

  • Website Integration: Check availability was returning 1 qty instead of the max available

  • API: Added additional event time options when creating leads

  • Workers: Sub-menu items weren't clickable on mobile browsers

  • Workers: Shift reminders now go out multiple times if worker has multiple shifts on same event

So what is meant by "contracts auto-generated" until signed? Can you elaborate?

If you move an event into a contracted status, and email the customer a link to the "auto generated" contract, any changes you make to the lead will automatically update the contract, until the customer signs the contract. So you don't need to delete a contract, create a new one, save it, and resend it when the details change (it uses your default template for this feature).

I just noticed the option to "auto generate contract", but it seems it must manually be clicked every time. Is there a way for our account to default to 'auto generate' contract? Usually, we just click the staus "contract createD" which automatically generates the contract without the need to goto contract tab, edit, create, click active, save....

Is this only going to work on new orders created today forward? Not sure if you saw my post immediately above, but I'm not seeing any auto-updating contracts as we're chaning a few today, unless i click edit, then "auto generate", then save.

You simply need to make a lead, click to move the lead into a status that is designated by contract, confirmed, or complete in the settings, and then you can click to email a lead. You do not have to edit the contract tab unless you want to choose a contract other than your default or make edits to a contract.


For leads that already have a contract on them, you'll have to edit the lead and select the auto generate option instead of the current contract snapshot if you want them to auto generate. Remember that once a contract is signed, we take a snapshot and no longer will auto generate. If you make changes at that point, you'll have to manually edit the contract tab and select auto generate again and send the contract out.

I belive they mean the contract will keep updating if you make changes to the latest changes without having to delete and add the contract again.

I have created 2 contracts one at 12:08 and one at 12:28 CST. Neither of these contracts have clickable view/email buttons. I want to email the contract to the customer and cannot. However, the contract that I created at 11:50am worked just fine. The email tab was clickable without a problem. HELP!!

Is the status of the lead not high enough? If the status is "quote" the contract will not be accessible. If a contract is created, the status should be "contracted"

I was just in middle of creating new contract, went to send, following new directions just get error message. When can I send invoices again?? I tried to refresh page as well. I sent 3 contracts already this morning now since new platform was launch in middle of work day it no longer will send outgoing emails.

Curious what needs to be done to access the mobile site? When I login now from my cell, using my admin privileges, I see in big blue letters at the bottom of every page "MOBILE SITE". But nothing is necessarily different than before.


Is this only for the worker site? If so, is this eventually coming to the normal back-end ?

Additionally, when trying to access our worker site from the desktop (workers>menu>workers site), only a blank page appears. The url shown is http://www.inflatableoffice.com/workers/mobile_leads.php


Just when I finished typing the above information, I tried from my cell (since it's still the desktop version with MOBILE SITE listed at the bottom), and also end up at a blank page with the same url.

I also tried just going to inflatableoffice.com/workers as indicated in a previous customer inquiry, and it forwards me to the above blank url.

It looks like some changes were made, because when I try to visit the mobile page this morning from my cell, it works. However, when I click on a lead, the screen darkens and nothing happens. Almost like there should be a pop-up, but isn't. Screenshot attached.


So I tried to visit the worker site from a desktop, same exact issue. Screenshot attached. Additionally, is there a reason the desktop is taking me to this stripped down mobile version without the choice to see the 'normal version'?


Finally, and perhaps this is only because of whatever problem still exists, is there a way to filter leads on the mobile site? IE Coming events? Or filter by lead type? Don't see it as of now.

Sorry, the issues with the mobile site have been fixed. When going to the worker site if you login as the main account or a worker account with the 'Worker Site Leads' permission, then you'll go to the Lead list by default. To see the calendar view you'll have to click Calendar at the top.

I have no calendar view up top on mobile or desktop (which still goes to the mobile site now, by default). There's a date-range selector, but no calendar view, no way to filter leads by lead-type etc. Screenshot attached.

Also, we noticed today that there's no way to see whether a contract has been signed yet without clicking view and scrolling down. Example lead: 1318347. As of yesterday, it'd still say "signed" or "unsigned" next to view, from the contract tab on the back-end. Was this an intentional omission? My hope was to instruct our staff to look to see if it's signed so they know if it must be re-generate manually, due to the new contract auto-update feature.

When logged in as the main account you don't get a calendar view, only the list view. The calendar view is only for worker accounts and it only shows their assigned shifts.

How do you add deposit to contract?

Typing %ctr_deposit_due% into the Contract Template will get replaced with the amount due on the deposit.

at Raymond you can put the variable anywhere you want it displayed in your contract.

In the past, any admin-sent emails that bounced would come back to my inbox, and also show as undeliverable in red on the log. I had one bounce today, but no indication of the bounce can be seen on the log....any idea why?

I notice if I just leave the first contract that populates "residential" in my case it will be auto generate which is great. But if I choose the next option Commercial it will not work as auto update and defaults back to Residential. The only way I can use the Commercial contract is if I snap shot it but then it's not on auto pilot anymore. What am I missing to make that auto generate?

The auto generate only works on the default contract. It's likely we will upgrade it to allow you to choose per lead what contract template to use for auto generation. Until then, you'll have to do it the old way with a snapshot.

Manually sent emails that bounce go to your email address only. Automated emails that bounce show a flag and are marked as Bounced, but don't get sent back to you. Because the bounce message goes back to you on manual ones, the system doesn't know that it bounced.

I turned on the venue county feature, but only see a blank field on our orders, even after updating/refreshing. Is this something we have to fill in manually, or should it be auto-populating?

It will auto populate with the next release. That part wasn't done yet.
